QTS PRESIDENT WRITES SECURITY COLUMN FOR NY STATE SOCIETY OF CPAs

QTS President Neil Rosenberg�s first article in an ongoing column in the NY State Society of CPAs� monthly publication, the Trusted Professional, was published last month. The column is targeted at non-technical readers who need to make decisions about computer systems security.

BACKUP TAPE LIBRARIES/NEW TAPE SET FOR 2002

QTS reminds you that your backup tapes, particularly DDS DAT and 8mm, have a typical lifespan of about a year of sustained use. Our recommended practice is to change tape sets every year, and retire the old tapes so they are available for restores before they wear out. Now is a good time to order a new set of 20 tapes and plan to create a new tape library on January 1st. Also, that�s a good time to do a test restore from a tape, and mark it on your calendar to do a monthly restore test each month of the new year.

INTERNET SECURITY SEMINAR SERIES WRAP-UP THIS THURSDAY MORNING

QTS� Internet Security Seminar Series will conclude this Thursday morning, November 15th with presentations from Check Point Software on Bandwidth Management and managing IP security, and from Aladdin on antivirus and content management solutions. QTS will present on putting the components together to build a secure infrastructure. PATCHES & UPGRADES

Call the Customer Support Center to have us apply QTS-standard patches and keep your systems current. The following patches have been recently released and are recommended by QTS:

* Microsoft Patch for �Invalid RDP Data/Terminal Services Failure� vulnerability (see Microsoft Security Bulletin MS01-052).

* Microsoft Patch for Windows XP, 98, 98SE and ME �Universal PnP� vulnerability (see Microsoft Security Bulletin MS01-054).

* Citrix MetaFrame XP Feature Release 1

* Novell NetWare 6 SMS Updates (NW6SMS1A.EXE)

We are currently testing Novell GroupWise 6 Support Pack 1. Please call your Account Manager if you would like to schedule an update once our testing is complete.

CA InoculateIT 4.x signature files are currently at version 29.55 (11/08/2001) and McAfee VirusScan/NetShield is at version 4169 (11/07/2001), and Norton Antivirus Corporate Edition is at version 31109f (11/09/2001). Please keep your antivirus signatures current! If you do not have your system set up to automatically distribute updates from your server to your PCs, please call your QTS Account Manager or the Customer Support Center.

Some patches can cause problems, especially in combination with other software programs or patch levels. Please talk to us to verify whether we see any possible problems in your environment before patching your systems independently. We make best efforts to test patch combinations but cannot guarantee compatibility between software and hardware manufacturers� products.

PRESIDENT�S CORNER

In the last two months, we�ve covered at an overview level one of the most important current issues to businesses - business contingency planning and disaster recovery. If you missed these columns and are interested in this topic, follow the link at the bottom of this email to our web site, to review them.

With that covered, I would like to turn my attention back to a topic that has been coming up with increasing frequency in recent months - Software Asset Management. Managing an organization�s software licenses is actually far more work than most people assume. Between network management, purchasing, desktop and applications staff, and users, this function in many organizations is ignored and compliance is taken for granted. Until the possibility of a BSA or vendor-specific software audit looms, that is.

What I have found, interestingly, in numerous customer conversations is that companies want to be compliant with their use of licensed software. In most cases companies are, or are very close and able to get where they need to be without excessive expenditure. But what I have found is that most mid-market businesses don�t have any centralized responsibility for tracking and managing this function, and don�t really know how to do it. If they were actually subjected to an audit, it would be an excessively time consuming affair. In most cases, the company would be compliant (unless they couldn�t prove ownership of software they had actually purchased - another problem entirely), but the stress and pressure combined with the time commitment of organizing the records on short notice, would be highly disruptive. Microsoft, for example, requires its Open License customers to submit self-audit information annually, and may contact businesses and request an audit if they do not receive the information.

In several customer conversations, I�ve given people direct guidance on what to do in this multi-step process. The fundamentals are actually pretty straight-forward. Putting together an organized record system to be prepared for an audit, and manage your software assets, consists of:

1) inventory what you are using (using a scanning tool or plain-old paper and pencil);

2) organize your licenses for what you have purchased (including bundled/OEM licenses), and where necessary organize purchasing records to show proof of purchase where licenses may be missing;

Looking at these two areas will give you a �delta� of what you�re short by, or what excess you have. But you�re not done. You now need to:

3) determine what you actually need - you may have more installed than you need (remove it) or you may need more than you currently have (anticipated needs/purchases).

This will give you your final reconciliation. If you have a shortfall, you know what you need to purchase. This process also has the advantage of establishing a central location where software asset records can be managed and tracked from. You�re ready for an audit (because you�ve done a self-audit) and you�re proactive rather than reactive. The final step in the process, then, is establishing a process for ongoing management of this information, with quarterly or annual (depending on the size of your business) re-audits and updates. Software Asset Management is an ongoing process.

What I�ve found from many of our customers is that they simply don�t have the time to go through this process, and to organize the information properly. Several of the ones who started never finished, and asked us to come in to help. So, to meet this need and help our clients establish a process and system for software license management, we�ve developed a program to take customers through this process and set them up for ongoing management of their software assets. We can help you with this process and leverage our tools and standards, to avoid �re-inventing the wheel,� or you can apply the above methodology yourself.
